Records Retention

Manages retention schedules with state-specific defaults for Illinois and Minnesota (14 schedules each with legal citations). Retention triggers include creation date, last modified, closure date, superseded date, and custom triggers. Permanent retention is supported for records that must never be destroyed. Legal and audit holds freeze documents from the retention clock — documents under hold cannot be destroyed regardless of schedule. Destruction requests go through a 4-step workflow: Request → Approve/Deny → Execute → Destroyed, with metadata snapshots preserved as disposition certificates. Methods include delete, shred, recycle, and archive offsite. Daily cron sweep identifies eligible records. Cross-module document linking via polymorphic columns connects retention to the originating system.
